Grand Officer Reporting

All Grand Officers submit their monthly reports electronically using Track It Forward.  (Members of the Grand Cross of Color degree team and Grand Flag Bearers report every other month.)  The reporting tool is always available, but each month's activity is due by midnight on the 2nd day of the following month.

​What should I report?

   Grand Officers are expected to attend a minimum of three meetings each month and report on those meetings, as wells as other “non-meeting” events attended.  Examples of each reporting category are as follows:

Rainbow Meeting - Assembly or joint meetings which are opened and closed ritualistically – if assemblies are unable to meet in person, virtual meetings may be included in this category.  Includes Grand Assembly and Mid-Year Meeting.
 
Other Rainbow Event - Fundraisers, fun events, Rainbow Universities, practices

Sponsoring Order Event - Installations or programs performed at meetings/events of our sponsoring orders
 
Volunteer/Community Service
- This new category is for service performed – for Rainbow, school, church or any other organization

 
   In addition to reporting attendance at the above events, Grand Representatives are expected to communicate with their counterparts and report the details of the contact.

   Although we report the hours for each event, this is not meant to be a competition but rather a way for the Supreme Inspector to include in her various reports and remarks the number of hours that our Grand Officers devote to Rainbow.  Your hours should not include travel time.
How do I report?
            You will use a system called “Track It Forward.”  There are two parts to reporting:
  1.  Set up an account (if you are a returning Grand Officer, your existing account will remain active)
     
    ​On a computer or in the web browser of your mobile device, navigate to trackitforward.com/find-a-site.  In the search box, enter “Grand Assembly of Texas.”

​Choose “Grand Assembly of Texas, IORG.”  In the resulting screen, click “Click here to register” to create your username and password.

Complete the information requested.  Do not worry about completing the “Key” field as it is not required and is an administrative field that will be populated by Grand Assembly.

Now you are signed up!

    2.  Report your hours

​      Your report is due by midnight on the 2nd day of the month following the reporting month.  To make it easier to report, Track It Forward has an app that can be downloaded to your mobile device, and you can enter your event information as you go.  You also have the option of entering your information on the Track It Forward website.  Either way, the same information is entered in an easy-to-complete format.

   Please note, when using the website, you have the ability to download a report of your activities to print for your Mother Advisor.

   As always, please contact the adult for your Grand Officer group with questions related to your appointment, and contact Mrs. Bettis with questions related to the reporting tool.
